When working for the University, you will need to record the time you work. Three methods are available to make recording your time easier for you:
- Punch in and out using the Cisco IP Phone at your work station.
- Use online functionality. Note: Before you use the online method, please verify with your supervisor you are allowed to do this.
- Finally, for those employees who do not have access to either an IP Phone or a computer, time clocks are available. Please ask your Time Manager for the closest Time Clock location.
IP Phones and Time Clocks
IP Phones
Navigate to the Y-Time Clock service to be able to clock in or out.
- To get to the Y-Time Clock service on the IP Phone, select the Services button at the right side of the phone, under the display.
- Press #4 on the keypad to access the Y-Time Clock.
- Enter your 9-digit BYU ID number and select Next by pressing the corresponding button under the display. Y-Time Main will appear with your name and work title once the system has validated your ID. It will also list if you are currently clocked in or out of Y-Time.
Note: This screen only indicates that you have logged into the system, it does not automatically clock you in or out.
- You are now able to clock in for work by selecting In or clocking out by selecting Out.
Note: If you have more than one job on campus, you will be prompted to select the job for which you are clocking in our out for. You may select the correct job by pressing the corresponding number for the job on the number keypad or by using the rocker arm on the phone to highlight the correct job and press Select.
- You have now successfully clocked in or out of Y-Time.
Time Clocks
Y-Time Clock is already selected and ready for your 9-digit BYU ID number to sign in and out.
- Enter your 9-digit BYU ID number and select Next by pressing the corresponding button under the display. Y-Time Main will appear with your name and work title once the system has validated your ID. It will also list if you are currently clocked in or out of Y-Time.
Note: This screen only indicates that you have logged into the system, it does not automatically clock you in or out.
- You are now able to clock in for work by selecting In or clocking out by selecting Out.
Note: If you have more than one job on campus, you will be prompted to select the job for which you are clocking in our out for. You may select the correct job by pressing the corresponding number for the job on the number keypad or by using the rocker arm on the phone to highlight the correct job and press Select.
- You have now successfully clocked in or out of Y-Time.
If you incorrectly enter your ID number, the bottom of the screen will say "Invalid Id # - Please Re-enter " and you will then need to re-enter your ID number. If you continue to get the error message, this means that you are not active in the system and you cannot work until this problem is resolved.
Y-Time portlet
The other method of time entry is online through myBYU. A portlet has been created to allow you to clock in and out. This portlet is available by selecting the "Add Content" tab on myBYU and selecting the search tab. Enter Y-Time in the search field. This will bring up the portlet under "Matching Content." Select it and drag it to where you wish Y-Time to display on your myBYU page.
The portlet will list all active jobs you have on campus and give you the total hours for all jobs as well as subtotals for each job for both the current pay period and current week.
To clock in, simply click on the green IN button located next to the corresponding job description. To clock out, click on the red OUT button by the appropriate job.
Also on the portlet is a link to your detailed timesheet. Click on the My Timesheet button. The detailed timesheet will show you all punches recorded for the current pay period.
Now that you've finished clocking in or out, if you're using a computer that is accessed by others, you'll want to log out of the myBYU page.
Additional Information
Registering your time punch
Upon registering your punch, the system will display another screen for you. This screen will indicate to you how your punch was registered -- as either in or out. It will also display:
- the date of the last punch
- the time recorded for the punch
- your name
- the job description of the job for which you punched
- a summary of hours worked for the week and for the pay period
Note: These totals will be as of a certain date and time that will display directly under the job description.
Other Options in Y-Time
Y-Time is not used just for clocking in and out. There are two additional menu options available to you -- you may either exit the system or review your total hours.
- Exit: select the Exit button to return to the Y-Time main screen.
- Note: If you are using an IP Phone, press the "Services" button to return to the default phone options.
- Totals: select the Totals button to view how many recorded hours you have for the current pay period. The "Totals" screen will display your name, the date and time it last calculated your hours worked, a summary of your hours worked for the current week and pay period and a list of all current job titles you have on campus.
- Note: If you have more than one job, the hours shown in the Totals screen will be a cumulative total of all hours worked for all jobs. Subtotal hours for each job may be found by using the rocker arm on the IP Phone or Time Clock to select the job title you wish to view.
- Note: Any hours worked for Physical Facilities will not be included in these totals.
If you have already exited the system or want to check your totals and are not clocking in or out, you may log into the Y-Time system as previously described. Once the system has validated your ID number, you may view your totals by selecting the Totals button underneath the display. To exit the "Totals" screen, press the Exit button below the display.
